Prospective authors are kindly asked to submit at least an extended abstract until June 2, 2024. Depending on the decision upon the abstract and the comments made by the reviewers, authors will be then asked to submit the full paper.

The official language of the EPE 2024 Conference is English.

The abstracts, as well as the final papers will be uploaded using the electronic submission interface of the Conference . Papers sent by e-mail will be discarded.

For uploading the abstract, authors must create an account on the electronic submission interface of the Conference  after which they will receive an ID and a password for every paper submitted. For enrolling as an author, please check the Author button in the account registration form. These credentials can be used to edit the submission, to (re)upload a paper or to view a submitted paper. Please be careful to remember them.

Authors who have already been registered to EPE from previous editions of the conference and do not remember the password, will access „Forgot your password?” link. They must know, however, the username. Otherwise, a new user must be registered. If you encounter troubles in this step, please contact the Conference Technical Chair at epe@tuiasi.ro.

The evaluation process will take place as follows.

  1. Authors submit the paper/extended abstract as a pdf or word file on the electronic submission interface of the Conference . The abstract is directed to a track director, according to the topic the paper belongs to.
  2. The track directors forward your abstract to appropriate reviewers who decide upon the work. If the paper is accepted, authors receive an invitation to submit the full paper that will be prepared according to the reviewers’ observations and suggestions.
  3. Authors prepare the full version of the paper. The full paper must be 4 to 6 pages length, must answer all the reviewers’ observations and comments and must rigorously comply with the Template (this is a requirement for the papers to be included in IEEE Xplore). Shorter submissions are automatically rejected. Please prepare the final paper strictly complying with the IEEE Templates.
  4. The Word version of the full paper, as well as the .pdf format of the paper are uploaded to the Conference interface in the REVIEW tab of the same paper.  The .pdf format of the paper(s) must be prepared using the IEEE PDF eXpress tool, according to the instructions below.
  5. Along with the papers themselves, author must upload in the same tab as for the papers the filled Copyright form. IEEE Xplore requires the Copyright form for each paper to be published in the database.
  6. The full paper, which is the camera ready version, is rigorously checked for the Template conformity and for plagiarism using the CrossCheck tool. Authors are informed about unconformities (if any).
  7. Papers that do not comply the above rules are rejected and authors are informed by message.
  8. Lastly, at least one author must pay the appropriate registration fee for the paper he will present at the Conference.

Important notes

  • Submitted papers must contain original work with no substantially overlap with papers that have been published or that are simultaneously submitted to other journals or conferences with proceedings. The plagiarism report performed with CrossCheck tool should not show more than 30% overlapping without references.
  • The final version of the paper will appear in the conference proceedings and will be submitted for inclusion into IEEEXplore database if at least one author pays the registration fee and presents the paper in a Conference section.
  • The participation of a first-author is limited to maximum two papers.
  • IEEE Xplore accepts papers only in pdf format made using the IEEE PDF eXpress tool. So, in step 4, before sending the camera ready paper, please convert it in a pdf format using  IEEE PDF eXpress tool and send it along with the Word format to the conference using the electronic submission interface of the Conference. Information regarding how to use the IEEE PDF eXpress tool may be found here (soon).
  • Student authors who pay reduced fees are required to provide a document proving their student status in their university.

Registration is required for all attendees of the event.

A participant is considered registered if pays the registration fee.

All registrations must be accompanied by the registration fee payment.

The registration fee must be paid no later than September 30, 2024.

The registration fees (without bank taxes) are:

A full conference fee covers at most 2 papers to be presented at the Conference by the same author. Authors wishing to present more than two papers must pay an additional fee of 50 euro for every paper exceeding the limit of two. However, if a co-author wishes to present the additional paper(s), he must pay the full registration fee.

All payments and financial transactions (including receipts and invoices) will be conducted through the bank account of SETIS (SOCIETATEA ABSOLVENŢILOR FACULTĂŢII DE ELECTROTEHNICĂ DIN IAŞI- Alumni SOCIETY OF THE GRADUATES of the ELECTRICAL ENGINEERING FACULTY OF IAŞI).

Cancellation Policy

All participants should register and pay the registration fee in advance.
If refund is required, it must be made in written at: epe@tuiasi.ro.
If refund is requested before September 15, 2022, 100% refund will be returned minus an administration tax of 50 EUR.
If refund is requested before September 30, 2022, 50% refund will be returned.
After September 30, 2024, no cancellation will be considered.
All refunds will be processed after the conference. All taxes will be in the participant’s charge.

Oral presentation

The duration for the oral presentation of one paper is 15 minutes (12 minutes for the presentation and 3 minutes for questions and discussion). An LCD projector and a computer will be available in the presentation room.
The speaker is asked to be in the room at least 10 minutes before the start of the session to report to the chair person.You must provide your presentation file in Power Point before beginning of the section you are scheduled for.
If the Conference will happen to be held online, authors will be informed in time for the procedures.

Poster presentation

The room where the posters will be placed will be announced in the final technical programm. The available poster panel is large enough to host an A0 frame. The attaching devices will be provided by the organizers. For the sake of uniformity, please use this poster template.
